Job Title: Administrative Assistant
Location: Cambridgeshire. Initially home-based, moving to a 50:50 home/office model when office premises are obtained.
Working pattern: 18.5 hours per week. 13.5 days’ (101 hours) holiday per year (27 days pro-rata). Working hours negotiable. 3 months probationary period (+ further 6 weeks if there are issues)
Salary: £13,000 per annum. Initial contract length: 2 years.
Line management: initially Board of Trustees pending recruitment of Director of Operations.

Introduction
CRRC is at a transitional stage of its development, moving from a charity managed entirely by volunteers to one which employs a small team of paid staff. This is our first paid position. Having come through a period of rapid development in the last four years, we now need to consolidate our knowledge and improve our systems and processes. The Administrative Assistant will play a key role in updating our internal processes and data management, as well as undertaking volunteer support duties.
Main duties and responsibilities
Data management:
- Management of CRRC Google drive, Google calendar, email, and access issues. Perform monthly audit of groups.
- Management of CRRC WordPress website and development of social media presence.
- Liaise with Chair of Trustees to provide newsletter content and support with production of Annual Report.
- Upgrade organisational data management through the set-up, roll-out and use of new databases. Encourage uptake and use of this by all.
- Maintain safeguarding records.
- Document all CRRC processes, maintaining and developing an organisation handbook.
Administration:
- Act as a first point of contact for the organisation.
- Support the Treasurer and Trustees as required.
- Provide administrative support to the area leads of all the Charity’s functions.
- Help with record keeping of safeguarding incidents – collating information and ensuring secure storage.
Volunteer management:
- Manage the Volunteer list – ensuring new volunteers are added and inactive volunteers removed.
- Support the onboarding of new volunteers, particularly reference checking and DBS checks
- Facilitate the organisation of training sessions, track volunteer attendance and update records.
- Share key information and resources with volunteers, including between area teams.
- Overhaul and develop the Volunteer Handbook.
